Welcome to Complainbos, a smart complaint management system operated by PHI SOFTWARE SDN BHD. By accessing or using this website and platform (the "Service"), you agree to the Terms and Conditions below. If you do not agree, please do not use the Service.

1. Acceptance of Terms

By accessing or using Complainbos, you acknowledge that you have read, understood, and agreed to be bound by these Terms.

2. Purpose of the Service

Complainbos is designed to improve public engagement and service experience by allowing users to submit complaints easily and enabling organisations or departments to manage, track, and respond to those complaints efficiently.

The platform includes features such as complaint submission, complaint tagging, multi-department support, KPI & reporting, notifications, and QR code access.

3. Account Registration

To use Complainbos, you must register for an account by providing accurate, complete, and current information about your organization, including but not limited to company name, business nature, contact details, and other required information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

4. Use of the Platform

You agree to use Complainbos responsibly and in good faith. You must not:

Submit false, misleading, offensive, abusive, or unlawful complaints
Use inappropriate or threatening language
Misuse the platform or attempt unauthorised access to the system
Interfere with the operation or security of the Service

PHI SOFTWARE SDN BHD reserves the right to remove content or restrict access if these Terms are breached.

5. Complaint Submission & Management

Complaints may be submitted via web forms or QR code access without additional downloads.
Complaints are categorised and routed to the relevant department based on the information provided.
Complainbos acts as a platform and management system only.
PHI SOFTWARE SDN BHD and Complainbos do not guarantee response times, resolutions, or outcomes.
Final actions and decisions rest with the receiving department or organisation.

6. Notifications

Users may receive notifications regarding complaint status and progress. Timelines may vary depending on departmental processes and workloads.

7. Data Protection & Privacy

Personal data is collected and processed in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.
Information submitted will be used solely for complaint handling, communication, reporting, and service improvement.
Data may be shared with relevant departments or authorities strictly for resolving complaints.

8. Intellectual Property

All content, system features, logos, designs, and software on Complainbos are the property of PHI SOFT or its licensors and are protected by applicable intellectual property laws. Unauthorised use is prohibited.

9. Limitation of Liability

To the maximum extent permitted under Malaysian law:

PHI SOFTWARE SDN BHD and Complainbos shall not be liable for any loss, damage, delay, or inconvenience arising from the use of the Service.
PHI SOFTWARE SDN BHD is not responsible for the accuracy of user-submitted information or actions taken by departments in response to complaints.

10. Service Availability & Changes

Complainbos is provided on an "as is" and "as available" basis. PHI SOFTWARE SDN BHD may modify, update, suspend, or discontinue any part of the Service at any time without prior notice.

11. Termination

PHI SOFTWARE SDN BHD may suspend or restrict access to the Service if these Terms are violated or if required by law.

12. Governing Law

These Terms are governed by and interpreted in accordance with the laws of Malaysia.
